Step 1

LGBT Aquatic Bid Document
Intent to Bid Letter

Any team(s) intending to bid on the IGLA+ Championships must file an Intent to Bid Letter with the Board by 1 February 2025.

IGLA+ has provided a template for an Intent to Bid Letter to download here. It is 1-2 pages and confirms your intent to bid for the 2027 IGLA+ Championships as well as your high-level plan.

Step 2

Formal Bid Packet

The formal bid to the IGLA+ membership consists of two parts, the Bid Packet and the Bid Presentation. All costs associated with producing the bid packets and presentations will be the responsibility of the bidding team(s). 

IGLA+ will then distribute the bid packets to IGLA+ teams at least one month before the IGLA+ General Meeting (IGM). A date for dissemination will be established by the bid coordinator, and the IGLA+ secretary will forward you mailing labels if requested.

 

The IGLA+ Board may request hard copies of the bid packet.  

The bid packet may be in paper or electronic [PDF] format, and should include detail on:

  • Team experience and background

  • Facilities available for each event, including seating capacity

  • Location and conditions of open water swim if offered

  • Dates of the competitions

  • Proposed schedule of events

  • Proposed social activities

  • Local attractions

  • LGBTQ+ community history and support

  • Letters from local authorities offering support

  • Transportation information

  • Hosted housing information

  • Your proposed approach to support Para Swimming classes, including support for participants who require service animals. (https://www.paralympic.org/swimming)​

Step 3

Presentation Bid at AGM

Team bids will be presented to the delegates of the IGLA+ membership at the annual AGM held 2 years before to the event. Your presentation should include the information most pertinent to your bid. Presentations may be up to 10-minutes long and may include multi-media — this year’s presentations will be done virtually.

The equipment needs of the bidding teams will be coordinated with the IGLA+ hosts by the bid coordinator, ensuring availability at the meeting and a rehearsal period prior to the meeting. If special equipment is to be used by more than one team, a cost share plan will be established. 

There will be a Q & A (question and answer) session after each bid presentation. Once all presentations are finished there will be an open discussion led by the bid coordinator. Members of the bidding team’s delegation may remain in the room during the discussion but are asked not to make comments except for clarification of an issue.

Step 4

Selection

At the completion of the discussion, a vote is taken by the IGLA+ delegates to choose the winning bid for the site of the IGLA+ Championships two years hence.

A majority vote must be established. If more than two cities are bidding and a majority is not established on the first vote, the city receiving the lowest number of votes will be eliminated and another vote will take place. This process shall continue until a majority vote is established.

 

The team that is awarded the IGLA+ Championships will be asked to present an update to the Board at the IGLA+ Executive Meeting the following year (the year prior to the event). The Board may also request the future host to provide an update to the IGLA+ membership at the IGM that year, and at the start of regularly scheduled IGLA+ Board meetings.

Additional Information

Regarding IGLA+ Fees for Championships

Performance Bond​
Once a bid has been accepted by the IGLA+ Board, the selected host city must post a Performance Bond of $2,500 USD. Submission of the Performance Bond reflects your intentions to follow IGLA+ guidelines for hosting the IGLA+ Championships as outlined in the Rules & Regulations manual.  

Payments are submitted to the IGLA+ Treasurer as follows:

  • $1,000 USD 30 days after acceptance of the bid

  • $1,500 USD payable one year prior to the start of the championships


Participant Fees
Host cities will also collect and submit to the IGLA+ Treasurer participant fees within 60 days following completion of the competition as follows:

  • Individual participants = 5% of your established registration fee, not less than $1.00 USD or more than $5.00 USD per participant.

  • Athletes paying Team fees = 5% of the team entry fee, not less than $5.00 USD per team
